Venue Logistics Coordinator

Salary: $40,000 per annum
About Us and the Role
Sudbury Indie Cinema is a not-for-profit co-op running Northern Ontario’s first dedicated arthouse cinema. We bring the best in independent cinema to the North, with year-round programming, open daily to the public at a beautiful single screen cinema downtown. This role offers the opportunity to be part of a collaborative team while helping shape a vibrant, accessible space for audiences and artists alike.
Sudbury Indie Cinema is seeking a highly organized and adaptable Venue Logistics Coordinator to support the day-to-day operations of our facility. This role is ideal for someone who enjoys a mix of hands-on facility work, event coordination, and administrative support within a dynamic arts and culture environment.
You’ll play a key role in ensuring our venue is welcoming, functional, and ready to host a wide range of screenings, events, and rentals.
Facility & Venue Operations
• Assist with daily opening and closing procedures, ensuring all spaces are clean, safe, and visitor-ready
• Monitor the condition of theatre, lobby, and outdoor areas, report maintenance needs
• Support set-up and tear-down for events and screenings
• Track inventory for equipment, furniture, and supplies
• Perform light facility upkeep (organizing storage, restocking, basic equipment checks)
Rental Coordination
• Maintain and update the venue rental calendar and booking schedules
• Communicate with renters to confirm event details (timelines, equipment needs, logistics)
• Conduct tours of rentable spaces for prospective clients
• Prepare contracts, invoices, and rental documentation (with supervision)
• Provide on-site support during rentals, including client assistance and troubleshooting
Event Support
• Coordinate logistics for internal and external events (seating, signage, technical needs)
• Liaise with staff, technicians, artists, and clients to ensure smooth operations
• Monitor events for safety, accessibility, and policy compliance
Administrative & Customer Service
• Respond to email and phone inquiries about rentals and venue use
• Maintain organized digital and physical records
• Support marketing efforts by gathering event details, photos, and visitor data
Candidate Criteria:
• Candidate must be a new entrant into the workforce, are transitioning to a new career, or the unemployed or underemployed who are entering a new field.
• Candidate must have not previously participated in an NOHFC funded internship in the 2020 Mandate.
• Candidate must be 18 years of age or older.
• Candidate must be legally eligible to work in Canada.
• Once hired, the candidate must reside in the Northern Ontario community in which they are employed.
What You Bring:
• Strong organizational and multitasking skills
• Excellent communication and customer service abilities
• Ability to work both independently and as part of a team
• Comfort with hands-on, physical tasks and problem-solving in real time
• Interest in arts, culture, film, or community spaces is a must
• Valid driver’s license
• Full-time, 1-year contract position
• Schedule will include evenings and weekends based on events and rentals, with a likely regular schedule is Sunday-Thursday.
